THIS WEEK'S UPDATE

  • We set a hiring plan for the Product Team through the end of 2018.
  • We held our first follow-up interview for the role of Process Engineer and scheduled another for this coming week.
  • We were saddened to learn that we’d be losing Dooma’s assistant Hanna, but respect her choice to decide to accelerate her schooling. We spent much of the week finding a short-term replacement and prioritizing the search for a new assistant.

LOOKING FORWARD

  • We’ll be developing job descriptions for three new members of the Product Team.
  • We’ll be conducting trainings with the lab technicians at Loyalist and our new intern who will be temporarily covering Dooma’s scheduling.

THIS WEEK'S UPDATE

  • We set interviews for the new role in the Product Team.
  • We developed a list of priorities for the Legal Team to use when reaching out to contract brewers.
  • We built out preliminary hiring plans for the Marketing Team and Product Team for 2018-2019, and shared them with those team leaders for feedback.

LOOKING FORWARD

  • We’ll be scheduling follow-up interviews for the top candidates for the new role in the Product Team.
  • We’ll be finalizing a hiring plan for the Product team through the end of 2018.
  • We’ll be completing some materials required to apply for additional government funding opportunities.

THINGS WE NEED HELP WITH

Our Intern, Productivity Team will support the Director Human Resources and Organizational Development and the larger Productivity Team at Province. The Productivity Team at Province both oversees Project Management for the entire company and HR. This will be a research/writing/data entry heavy role. Responsibilities include:

  • Helping to clean up Province’s project management software.
  • Researching Kanban and Agile work systems.
  • Helping to draft HR documents.
  • Pitching in to support other Province teams with research projects.

THIS WEEK'S UPDATE

  • We placed a posting for interns and look forward to seeing what responses we get.
  • We’ve started getting resumes for our new role in the Product Team.
  • We split our Alcohol Licensure Gantt Chart into three separate charts for better clarity.
  • We helped the Fundraising Team plan a trip for a potential investor.

LOOKING FORWARD

  • We’ll be working with the Product Team to build out a list of interview questions for the new candidates we’ll be interviewing.
  • We’ll be working on building out some company-wide HR plans for implementation of the new bonus plan.

THIS WEEK'S UPDATE

  • We built out a Gantt Chart to track all our expanded HR needs moving forward.
  • In preparation for the upcoming conference we helped the Fundraising Team update our profile on Breeze, Arcview’s portal for investors to research companies pitching at the conferences, and trained the new members of the Fundraising Team on the portal.
  • We helped the Product Team think through their future hiring needs and began putting a plan in place to address those needs.
  • We worked with the Legal Team to get some questions answered for the final build-out of the Alcohol Licensure Gantt Chart.
  • We held one of our first intern interviews.

LOOKING FORWARD

  • Due to some unexpected HR and fundraising needs, we didn’t complete all our postings for interns, but we’ll be prioritizing that this week.
  • We’ll be helping the Product Team post for at least one new position.
  • We’ll be building out a roadmap for the next 6 months of Product Team hiring.

THIS WEEK'S UPDATE

  • We completed the initial training for the newest member of the Legal Team.
  • We updated our Gantt Chart with all of the initial alcohol licenses we need to apply for, and the team is moving forward to make sure those applications go smoothly.
  • We turned in all the final paperwork for the Global Talent Stream Program.
  • We held a call with all the Team Leaders to discuss our HR needs moving forward as the team grows.
  • We made initial contact with all the universities where we want to post for interns.

LOOKING FORWARD

  • We’ll be doing all our first postings for interns.
  • We’ll be building out a Gantt chart to help track all of our expanded HR needs moving forward.

THIS WEEK'S UPDATE

  • We’ve successfully scheduled all of our SmartSheet trainings and completed another training. It was great to incorporate all we learned from the first training and we continue to tweak the process.
  • We used our new Employee Performance Review Survey and Employee Self-Evaluation for 90-Day Reviews for the first time.
  • We began reaching out to local universities to start expanding our intern program.

LOOKING FORWARD

  • We need to work with the legal team to make sure the Gantt chart tracking post-closing matters for the Cannabis Wheaton deal is updated and correct.
  • We’ll also be working with the legal team to do a major Gantt chart update based on all their research into alcohol licensure.

THIS WEEK'S UPDATE

  • We spent most of the week helping the Fundraising Team to get set up to start accepting funds for our Series B Round. We shifted our tracking of commitments to SmartSheet.
  • We got our referral for the Global Talent Stream program.
  • We got to the bottom of SmartSheet’s automatic update requests. Unfortunately, they just don’t have the functionality we need, and we’re exploring other options to achieve the same goals.
  • The Gantt Chart for merging with a CPC is 90 percent complete. We have a start-to-finish plan fleshed out and are just tweaking a few details.

LOOKING FORWARD

  • We plan to complete scheduling all of our SmartSheet trainings.
  • Now that we have the referral, we’ll be completing all the paperwork for our Global Talent Stream application.

THIS WEEK'S UPDATE

  • We held our first training to acquaint the team with all the updates we’ve made to SmartSheet. Krina was an amazing team sport and let us work out all the kinks in our training plan. We’ll be scheduling trainings with everyone else in the company over the next couple of weeks.
  • We completed all the Gantt Charts to track our licensure efforts. These will be living documents that change a lot from week to week, but there’s a really strong structure in place, and we’ll be doing daily checks to make sure we stay on-top of all deadlines.
  • Based on feedback from our 30-Day Reviews, we added a new section to our weekly scrums to make sure we have better cohesion as a team.
  • We rolled out new team dial-ins for conference calls to reduce the amount of accidental overlap on the conference line.

LOOKING FORWARD

  • We plan to jump in and help on the search for temporary office space in Toronto.
  • We need to complete the Gantt Chart for merging with a CPC.

THIS WEEK'S UPDATE

  • We held the first Post Mortem with our new system and it went very well. There were a lot of good take-aways for our team in particular and we look forward to putting them in place on our next large project.
  • Ryan has been valiantly battling the support team at SmartSheet to get them to format automatic update requests to function the way we need them to, and that issue will hopefully be resolved soon.

LOOKING FORWARD

  • We need to complete the write-ups for all the 30-day reviews we’ve completed to-date.
  • This week we began a Gantt Chart to track all the steps we need to take to apply for and receive all the licenses we need. The legal team was incredibly helpful and with all the information they provided, we’ll be completing that chart this week.

THIS WEEK'S UPDATE

  • We cleared the first hurdle for getting a referral to Global Talent Stream and are just waiting on our contact’s manager’s approval to move forward. They only requested a small amount of additional information, which we turned around the same day.
  • Since Ryan committed most of his time this week to the assisting the Product Team in finding a building, we didn’t get to as many SmartSheet issues as normal, but we cleaned up several sheets, including linking all of our science Gantt Charts up to their corresponding patent application Gantt Charts, and making sure the reporting deadlines for our project with Loyalist were clearly built out in that Gantt Chart with appropriate lead times.
  • We completed our research into post mortems.

LOOKING FORWARD

  • Since we didn’t get to it last week, we’ll be testing out some new SmartSheet capabilities including automatic update requests.
  • We’ll be sending out a plan and questionnaire in preparation for several upcoming post mortems.

THIS WEEK'S UPDATE

  • We used our new system for 30-day employee reviews for the first time. It went well and we look forward to refining the process in the next couple of months.
  • We began research into building out an invoice tracking sheet in SmartSheet.
  • We are close to having fully completed the SmartSheet overhaul and laid out everything we need to cover in our refresher trainings that will begin next week.

  • We’ll be testing out some new SmartSheet capabilities including automatic Update Requests.
  • We’ll be scheduling the SmartSheet refresher trainings with all team members for the next few weeks.

  • We got the whole Loyalist team up and running on our new hour-tracking system for the grant.

  • We updated the Kanban Boards for both our Legal Team and Business Development and Fundraising Team. It’s awesome to see teams digging in and customizing their Kanban Boards to their individual needs.
  • As plans develop, we continued to build out the Gantt Chart for the Loyalist Project.
  • We also held an interview with a possible summer intern that Dooma met at the Yale Business of Legal Cannabis conference.

LOOKING FORWARD

  • This week we’ll be researching ways to use SmartSheet for tracking invoices and POs.
  • We’ll also be scheduling quick trainings with everyone involved with the Loyalist project to get them up and running with our SmartSheet hour-tracking system for the grant.

THIS WEEK'S UPDATE

  • We prepared a suite of documents for one of Global Talent Stream’s designated referral partners. Our immigration specialist was really pleased with the presentation. Now we have to keep our fingers crossed that the referral partner feels the same way. Our contact at the referral partner is on vacation next week so we likely won’t hear anything until the week of the 26th.
  • We helped coordinate several aspects of the project with Loyalist, including getting feedback on the resumes we’ve received for a student assistant at the college.
  • We held several calls with other team leaders to help go over their specific questions about Smartsheet and have been researching ways to make the software more effective for their teams.

  • We coordinated the delivery of two offer letters to potential new candidates.
  • We completed the majority of on-boarding for all new employees.
  • We provided our immigration specialist with all the documents needed to begin pursuing the first work permit we require.

LOOKING FORWARD

  • For several team members we’ve been exploring the Global Talent Stream program as a means of immigration. We have a suite of documents we need to prepare for one of ESDC’s designated referral partners.
  • We’ll also be reaching back out to a potential government funding source who should have new funds to release for 2018.

  • We built out an on-boarding checklist and reviewed it with the Legal Team. As we grow larger we’ll be putting more time into making sure we comply with HR best practices. 
  • We helped compile information from the entire Product Team for our call with Loyalist. It was a productive call and we’re scheduled to go over more details with them this coming week.
  • We followed up with the Business & Fundraising Team to advance a grant proposal we’re working on.

LOOKING FORWARD

  • A lot of this week will be focused on hiring. We have several offer letters to coordinate, and we’ll be making sure that our recruiter gets feedback on the latest group of candidates he’s found for us.
  • We also need to make sure our latest hires have completed the last of their on-boarding.

  • We built out individual Kanban Boards for each team and began organizing all our initiative Gantt Charts and individual reports into team folders for easier access.
  • We updated our Gantt Chart for the Loyalist Project as well as the one for finding a brewery location to better track all our current options.

LOOKING FORWARD

  • We’ll be updating everyone’s individual reports to pull from start-date instead of end-date to make sure important long-term projects aren’t missed.
  • We’ll also begin building out team reports.

THIS WEEK'S UPDATE

  • This week we held a call to review the large Gantt Chart we built out to track the LP deal we’re working on. It was incredibly helpful to get everyone’s feedback and make sure we were all on the same page.
  • We also spent a good deal of time speaking with the Production Team, planning out their current initiatives for the near term until we bring on new team members to assist in their efforts.
  • On that note, we also worked hard to keep our hiring Gantt Chart up-to-date with all the candidates moving through our review process.

LOOKING FORWARD

  • We appreciate everyone trying out the new company scrum structure last week. That experience actually gave us an idea to further re-vamp our Kanban Board and scrum structure, which we look forward to discussing with the team at the next meeting.

THINGS WE NEED HELP WITH

  • Speaking with a possible Product Team candidate about SmartSheet this past week made us think about something we wanted to mention to everyone working with it. SmartSheet, beyond anything else, is a communication tool. Please treat it as such. If you’re past-due on a task and there’s a reason or something you’re waiting for to complete it, note it in the notes section or right in the task name. This will allow us to help remove roadblocks as we review sheets.

THIS WEEK'S UPDATE

  • This week we had a call to go over priorities for 2018, and we continued our update of SmartSheet.
  • We helped kick-off a large Business Development initiative and in the process helped raise some questions about how we handle the start of large projects that we look forward to addressing.

LOOKING FORWARD

  • This Sunday will be the first time we implement part of our new company scrum structure. We also will begin a new structure for daily team scrums to allow for goal-setting and more in-depth discussion without expanding the length of daily calls.

THINGS WE NEED HELP WITH

  • For Province Brands' staff members that work with SmartSheet: This is a reminder to check your reports! Mark tasks complete. Push back due dates that are not urgent. Reassign tasks where appropriate. This will be a huge help as we get SmartSheet updated. And always feel free to reach out if you’d like a refresher on SmartSheet or have any questions on your report.
