Productivity Team Update January 11, 2019

THIS WEEK'S UPDATE

  • This past week, we spent a good deal of the team’s time working on planning a tour for potential investors.

  • We are also still working to fill several key roles. If you have any recommendations for the positions below, please let us know.

  • An Assistant Brewer accepted our offer to join the team and we’re excited to have him start soon. We’re also in discussions with people on several open offers.

  • We purchased safety equipment for our facility and have begun building out our Health and Safety Program.

LOOKING FORWARD

  • This coming week will still be busy with the tour, especially since we added a second tour for this week, and another in February that will need to be built out.

  • We need to finalize all the open offers we have out to candidates.

  • With Steven out this past week, we need to catch up on some SmartSheet clean-up, and provide some additional help to the science team in building out some key projects.

THIS WEEK'S UPDATE

  • Top priority is still filling several key roles. If you have any recommendations for the positions below, please reach out. Your suggestions have already been incredibly helpful, and we have several promising candidates, but we never like to stop the search until an offer is accepted.

  • We were thrilled to welcome a new COO, John Mogk, and business development and fundraising manager, Dylan Rogers. We completed initial training and expect great things from our expanding team!

  • We joined the Product Team’s end-of-year planning meeting. It was inspiring to see the group effort to plan for success in the coming year.

  • We received all our new computers and just need to get them set-up for the team.

LOOKING FORWARD

  • Top priority this week is planning an important tour for a potential group of investors.

  • We need to plan a visit for a potential key science candidate.

  • We need to build out all of the Product Team’s plans from the end-of-year meeting, including hiring needs.

  • We need to hold the call to go over the End-of-Year-Review Materials with the founders.

THIS WEEK'S UPDATE

  • We’ve begun to prioritizing internal headhunting for several key roles. If you have any recommendations for President, Chief Business Development Officer, or Bioprocess Scientist (find descriptions here: https://www.provincebrands.com/careers) please reach out.

  • At the same time, we’re exploring the option of trying out a retained search for a few roles and negotiated two contracts for those this week.

  • We finalized the terms of our Employee Referral Program for job candidates and will be rolling it out this week.

  • Unfortunately, our final candidate had to pass on our last outstanding offer because of relocation issues, but we plan to stay in contact.

  • We planned a small holiday party for the team.

  • We ordered computers for all new team members, and have a plan in place for future orders.

LOOKING FORWARD

  • We need to decide if we’re moving forward with both or either retained search.

  • We need to build out Smartsheet sheets for the upcoming Product Team planning meeting.

  • We need to plan a call to go over the End-of-Year-Review Materials with the founders.

THIS WEEK'S UPDATE

  • A new Business Development and Fundraising manager accepted our offer. He’ll be doing his training with Dooma over our holiday break and starting first thing in the new year.

  • We held a meeting with team leaders about a new format for weekly Smartsheet reviews with their direct reports that we hope will help everyone prioritize their tasks more efficiently and make Smartsheet reports more manageable.

  • We found a possible location for a Toronto office and got in all initial paperwork.

  • We completed drafts of a “One-Pager” about the company for potential candidates and the form for an Employee Referral Program that would reward employees for recommending potential candidates.

LOOKING FORWARD

  • We need to follow up on all our outstanding offers and employment agreements.

  • We need to complete drafts of everything for our new system of end-of-year reviews and get it to the Founders to review.

  • We need to finalize our company one-pager and the language for the Employee Referral Program.

THINGS WE NEED HELP WITH

  • Since nothing is certain until a lease is signed, if you have any additional leads on office space near downtown Toronto available for sublet or lease (at least 400sqft, ideally at least 2 rooms, $2,000 - $2,500 rent), reach out to caitlin@provincebrands.com.

THIS WEEK'S UPDATE

  • We went out with several key offers. We already heard back on a few, and though responses were not all what we hoped, it looks like at least one person will join us as a contractor. We hope to receive several positive responses this coming week.

  • We placed an order for desktops and found an IT company to get the whole company up on G Suite for file sharing.

  • We surveyed team leaders on their opinions about Smartsheet, and had a planning meeting with Dooma about our recommendations for improvements.

LOOKING FORWARD

  • We need to follow up on all our outstanding offers.

  • We need to schedule a meeting for team leaders to present several changes to Smartsheet that should hopefully make reports and other features more useful for the team.

  • We still need to find an alternate Toronto office.

  • Steven and Caitlin completed a review of all team Gantt Charts.

  • We brought on one new recruiter and planned additional calls for this coming week.

  • We need to go out with several key offers this week.

  • We need to complete updating the cannabis licensure Gantt Chart.

  • We need to purchase desktops for all new team members. We wanted to wait to see if there were any opportunities on cyber Monday.

  • We began planning the next the investor visit.

  • We had several calls with additional recruiters with an eye towards getting more penetration in the U.S. and internationally.

  • Most of this coming week will be taken with initial on-boarding for our new project manager and development coordinator.

  • We had to push the call to update the licensure Gantt Charts, but that will happen this week.

  • The tour for the potential investor went very well.

  • We began making plans with our immigration attorney for several potential new hires.

  • Marija attended a scientific conference in North Carolina to help source formulations chemists.

  • Marija completed her first week of on-boarding at Province. We couldn’t be more excited at how quickly she’s gotten up-to-speed.

  • She’s already brought a great deal to the team with her expertise and insight.

  • We built out on-boarding for our new process engineer.

  • We’re optimistic about several R&D and C-Suite candidates and will move all those individuals forward.

  • Our second offer was accepted. Our new HR Manager will be starting in two weeks.

  • We went out with two more offers and are currently in the process of locking down the final terms for those roles.

  • We built out the initial Gantt Chart for our team move to the new location.

  • We held interviews with several Project Manager candidates.

  • We need to draft new job descriptions for several roles for the Business Development and Fundraising Team.

  • The Province website now has a Careers page.

  • We posted our Project Manager job descriptions with PMI and have started to get candidates.

  • We went out with two offers, one of which has already been accepted.

  • You’ll hear more from our new Process Engineer in later updates.

  • We’re very excited about what he’ll bring to the Product Team.

  • We brought on a new recruiter for technical roles.

  • We need to revise our plan for timing of hires for the Product Team.

  • We need to make sure the final computers for the Business Development and Fundraising Team are purchased.

  • We are assisting in preparations for the Annual Shareholder Meeting and need to make so we have a few details for that event wrapped up.

  • We helped the legal team build out a Gantt Chart for our Industrial Hemp License application and clean up our sheet for Alcohol Licensure.

  • We ordered laptops for the newest members of Productivity and Product.

  • We made a plan with the Product Team for on-boarding their new consultants.

  • We continued pushing all of our current candidates through the interview and hiring process, including going out with another offer this week.

  • We need to reach out to the Project Management Institute about them posting our openings.

THIS WEEK'S UPDATE

  • We helped the legal team build out a Gantt Chart for the upcoming Annual Shareholder Meeting.

  • We joined two interview calls for process engineer and are pushing those candidates on to the next level.

  • We’ve begun discussing updating our training procedure. Caitlin’s move to Ontario should be complete in October, which will facilitate her doing more in-person one-on-one trainings. In the meantime, we’ve expanded the basic training schedule and held some additional phone trainings for new team members.

  • We facilitated shipping our conference booth to Chicago, in advance of Arcview Chicago.

LOOKING FORWARD

  • We need to get all of our job descriptions up on the Province website.

  • We need to do a general check-in with all of our recruiters, get them updated job descriptions, and push them for more candidates.

THIS WEEK'S UPDATE

  • The research neurobiologist we made an offer to accepted. We’re looking forward to welcoming her to the team in October.
  • Dooma also has a new executive assistant who will be starting on the 10th. We’ve already completed the Productivity Team’s on-boarding for her, and Dooma will start his on-boarding this week
  • Unfortunately, the extraction specialist who accepted our offer had to withdraw from the role. It’s always disappointing when something like this happens, but it’s better to have someone realize the position isn’t right for them earlier rather than later. We’ve gone back to our recruiters and hope to have new candidates soon.
  • We signed with two new recruitment firms for engineering hires and held kick-off calls with each, as well as our other new generalist firm.

LOOKING FORWARD

  • We now have several interesting new candidates for process engineer (with more expected soon), and we need to make sure those interviews happen quickly.
  • Our team had a very productive call with the founders about how to improve our hiring success, and we’re working on planning some trainings to improve our interview process, and also revising some of our job descriptions to better target the interests of different hires.

  • We went out with offers for two new members of the Product Team including a research neurobiologist. 
  • We held a kick-off call with a new recruitment firm and signed a contract with another firm highly recommended by Auxly.
  • We planned the on-boarding for the new extraction specialist, but he had to delay his start date.
